Aboveground Fuel Tank RFQ Checklist

Send suppliers the same complete project scope so you can compare equipment, installation responsibilities, freight and lead time—not just tank price.

Type: Buyer checklistAudience: Fleet, contractor and facility buyersLast reviewed: October 9, 2026
Copy the scope below into your RFQ. A quote based only on gallons may omit pumps, shipping, offload, foundation and approval tasks that change your installed cost.

1. Project and site inputs

  • Company/site contact, street address and whether delivery is to an active construction site.
  • Stored product and intended use: equipment fueling, fleet dispensing, generator, backup, aviation, used oil or another purpose.
  • Annual or weekly consumption, refill frequency, target usable capacity and planned growth.
  • Number of tanks, available footprint, vehicle traffic, existing infrastructure and future relocation expectations.
  • Responsible local fire/building AHJ, environmental agency and any known permit requirements; list unknowns explicitly.

2. Tank construction and listing

  • Required nominal capacity versus usable operating volume; request dimensions, empty/full weights and capacity documentation.
  • Tank type, single/double wall, primary/secondary containment, interstitial monitoring and protective construction (UL 142 versus UL 2085 where applicable).
  • Stored liquid compatibility, venting, overfill prevention, fill/spill arrangements, gauges, access fittings, coating and corrosion protection.
  • Environmental conditions, seismic/wind/anchoring requirements and whether the manufacturer supplies engineered installation drawings.

3. Dispensing and controls

  • Electric power available (voltage and phase) or battery/solar requirement.
  • Flow-rate target, number of fueling points, hose/reel length, nozzles, breakaways, filters, meters and key/vehicle authorization.
  • Monitoring, telemetry, leak alarms, emergency stop, wiring and commissioning responsibilities.
  • Ask suppliers to identify included components, optional upgrades and exclusions by line item.

4. Freight, installation and startup

  • Quote FOB point, shipping origin, delivery ZIP/postal code, unloading equipment, freight access, insurance and delivery window.
  • Clarify responsibility for crane/forklift, foundations, anchoring, electrical, piping, environmental work, fire approval, inspections and permits.
  • Request estimated manufacturing lead time, shipping duration, on-site commissioning, warranty start date and documentation package.

5. Compare bids on the same basis

Supplier clarification questions

Ask every bidder to identify assumptions, alternates, substitution requests, unresolved code questions and the final responsible party for installation/permit coordination. If a supplier offers an alternate design, request an explicit side-by-side deviation list so totals remain comparable.

Helpful planning resources

Scope: Vendor-neutral purchasing checklist. This is not engineering, fire-code approval or a legal compliance certification. No universal specification suits every site; confirm requirements with the authorities, installer and qualified project professionals.
